The scenario every stylist knows
It's 9pm. You have six appointments tomorrow. You pick up your phone and start typing:"Hi Sarah! Just a reminder your appointment is tomorrow at 10am 😊" — then"Hi Aisha! Your appointment…" — then "Hi Rachel…"
Forty-five minutes later, you've sent six messages, checked all their numbers, and your thumb is sore. And you'll do it again tomorrow night.
There are tools that automate this — but they all have the same problem.
Why automated WhatsApp reminders are expensive
To send messages automatically on WhatsApp, you need the WhatsApp Business API. It's legitimate and official — but it has a catch: every message costs money.
WhatsApp Business API costs (2026)
- • Malaysia: ~RM0.07 per utility message (reminders, confirmations)
- • 50 clients × 1 reminder/week = 200 messages/month
- • 200 messages × RM0.07 = RM14/month just in message fees
- • Plus the tool subscription on top of that
And there's a bigger problem than cost: automated API messages arrive from a system number, not yours. Your client's phone shows something like "+1 (628) 203-3xxxxx" instead of "Emma Chen ✂️". That message looks like spam. It gets dismissed or reported.
The reminder didn't feel personal — so it didn't work.
The wa.me approach: personal, free, one tap
LuxeBook doesn't use the WhatsApp Business API at all. Instead, it generates wa.me deep links — links that open WhatsApp on your phone with a message already typed, addressed to your specific client, ready to send.
You tap the link. WhatsApp opens. The message is pre-filled with the client's name, service, and appointment time. You glance at it, hit Send. Done.
The message arrives from your phone number. Your client's phone shows your name. It looks exactly like a personal message — because it is.
How LuxeBook's reminder tab works
- 1Open LuxeBook → go to the Tomorrow's Reminders tab
- 2See all appointments for tomorrow, listed with client name, service, and time
- 3Tap [Send WA ▶] next to any client — WhatsApp opens with the message pre-filled
- 4Hit Send in WhatsApp — back to LuxeBook in 3 seconds
- 5That client's row gets a ✓ checkmark
- 6Repeat for each client — 6 reminders in under 3 minutes
The message template
LuxeBook pre-fills the message using your custom template. The default looks like this:
Emma Chen ✂️
Hi Sarah! Just a reminder your appointment is tomorrow at 10am 😊 See you at Luxe Studio! ✂️
You can customise the template in Settings — change the tone, add your salon name, adjust the emoji. Variables like [Name],[Time], and[Service] are filled automatically for each client.
The result: reminders clients actually respond to
When a reminder comes from your WhatsApp, clients treat it differently. They reply. They say "see you then!" or "actually, can we push to 11?" That's the conversation you want — before the appointment, not during it.
And when a client does need to reschedule, you find out the night before — while you can still fill the slot with the 6-week follow-up tab, which shows clients who haven't been back in a while.
Cost: what you actually pay
| Approach | Monthly Cost | Message feels personal? |
|---|---|---|
| Manual WhatsApp typing | Free | ✅ |
| WhatsApp Business API | RM14–50+/month | ❌ (system sender) |
| LuxeBook wa.me method | $0 extra (included in $9/mo) | ✅ (from your number) |
